Job Objective
The Client Executive ensures overall customer and partner experiences are of high-quality standards, smooth problem solving and consistent across tenants, visitors, event guests, partners, and vendors.
Job Responsibilities
Event Services
- Serve as the main point of contact for event space enquiries from tenants and external clients via various channels (walk-in, phone calls, emails, Telegram/WhatsApp) , as assigned, from start to finish including viewing, booking, billing, managing the event flow and feedback.
- Develop event proposals and ensure smooth and clear communications with clients through email, walk-in, phone calls, Telegram/WhatsApp
- Provide inputs on event space rental strategy including pricing, partnership, and vendor management
- Provide inputs on event SOPs and booking system (calendars), ensuring they are up to date
- Coordinate with internal team for event layout, setup, and team planning
- Liaise with accounting to ensure invoices to all clients and and payments for all vendors are accurate and timely
- Oversees event flows and ensure smooth operations
- Take and appropriately file event photos for setup/layout references
- Develop and maintain relationships with vendors and suppliers to maintain overall operations of the building, ensuring event suppliers database is up-to-date,
- Ensure clear understanding of event and building policies (i.e. loading procedure) amongst event vendors and partners and that they understand the building loading policy
- Assist with onboarding and training of new team members on event procedures
- Assist with other client & administration services as requested
Community Programes
- Provide inputs on community event concepts for tenants and professional communities aligning with Raintree’s values and priorities
- Assist with operations of community programmes including tenant community engagements, knowledge resources development and event programmes
- Coordinate with partners and vendors on behalf of team in flagship events (i.e. Christmas @ Raintree)
- Ensure smooth and clear communications with team and partners through email, phone calls, and in-person engagement across all activities
- Provide inputs on community engagements and programmes to Communications and Marketing Team for tenant newsletter, website, and social media
- Liaise with accounting to ensure invoices to clients and payments for all vendors are accurate and timely
- Ensure correct minutes from meetings, clear fillings of administrative documents and programmes reports (both online and offline)
- Assist with scheduling of meetings, industry engagements and public appearances as required
- Assist with promotion of Raintree to partners and the public as required
- Assist with other tasks as requested
Job Requirements:
- Highly organised and can deliver scheduled events and support community programmes
- Ability to propose creative concepts
- Ability to identify problems and propose solutions
- Ability to coordinate across departments solve problems for clients, partners and team
- Intermediate to fluent English spoken/written
- Intermediate to native Khmer spoken/written preferred
- Interest social impacts preferred
